Don't buy a "universal" printer. You'll end up with a machine that does everything poorly—and a bill that proves it. Ours cost $14,000. For the last 18 months, I've run three separate print technologies side by side at a 120-person marketing agency: a Ricoh P502 for daily office documents, an MG-640 UV printer for rigid promo items, and an HTVRONT DTF printer for t-shirts. The UV and DTF machines are not competitors. They do different jobs on different substrates. And neither one replaces the office printer. Once you understand that, the buying decision gets a lot simpler (and your finance team stops giving you the disappointed look).
I have a specific reason for having an opinion here: I'm the office administrator for that agency. I manage all print and office equipment purchasing—roughly $180,000 a year across 20-plus vendors—and I report to both operations and finance. That means I own uptime and cost-per-page. When I get the choice wrong, I hear about it from two directions. In 2023, I got it very wrong.
Back then, I fell for the "one machine does everything" pitch. A multifunction device that could print office docs, marketing collateral, and supposedly even custom items. It sounded perfect for a company tired of juggling multiple vendors. The reality: when the account team printed a 200-page client deck and the events team ran a batch of branded mugs in the same week, everything went sideways. Color profiles clashed. Paper paths jammed. The "do-it-all" machine needed four service calls in its first three months. We wrote off a big chunk of that investment (ugh, that still stings).
I rebuilt our print stack from scratch with one rule: match the technology to the substrate. Documents go to laser. Rigid items go to UV. Fabric goes to DTF. The Office Layer: Ricoh P502 Printer
The Ricoh P502 printer is our everyday workhorse. It's a monochrome laser, which initially felt like a step backward after we'd had a color multifunction. But here's the thing: most office printing doesn't need color. Contracts, checklists, internal memos, client proofs. In our office, about 85% of daily volume is black and white.
The P502 does one job and does it well. It prints. Fast, reliable, and at a sane cost per page. It's also a network printer that doesn't demand constant attention. Every printer occasionally throws a fit (usually at the worst possible moment), but in the P502's first year we needed zero service calls. The "universal" machine needed four. I'll take that trade-off every time.
I'll also confess something that sounds odd in a buying guide: the reason I trusted Ricoh in the first place was a camera. The MG-640 UV printer was the hardest purchase to justify. We wanted to make branded promo items in-house instead of paying a third party $4–6 per item plus shipping and a two-week lead time. But we didn't want to drop $30,000 on a production UV flatbed until demand proved itself. The MG-640 sits in the middle: a smaller UV printer that prints on acrylic, wood, metal, plastic, and other rigid substrates.
The surprise wasn't the print quality. It was how many internal requests appeared once the marketing team knew we could turn around branded awards, notepads, and phone grips in two days instead of two weeks. We recovered the machine's cost in about 11 months. I'd budgeted for 18. (Not a bad surprise, for once.)
The less pleasant surprise was what it can't do. It won't print on fabric. Flexible items are a struggle. And there's a learning curve with adhesion, curing, and head height that no spec sheet prepares you for. The vendor described it as "plug and play." That was optimistic.
The Fabric Layer: HTVRONT DTF Printer
The HTVRONT DTF printer was the one I doubted most. DTF (direct-to-film) is newer than screen printing or direct-to-garment, and HTVRONT's brand read as "prosumer" to me, not commercial. I was wrong about that ceiling.
For small-batch t-shirt printing—say, 10 to 50 shirts at a time—DTF has quietly become the best option. If you've been searching for a "DTF printer t-shirt printing machine," the HTVRONT is exactly that: you print your design onto transfer film, apply adhesive powder, cure it, and heat-press it onto the fabric. It's smaller and cheaper than a production direct-to-garment printer, and you don't need a separate washout facility.
The reality check is consumables. Film, powder, ink, tape—it all adds up. Our first-year cost per shirt, including learning waste, was $6.80. That's higher than outsourced printing at volume. But once we dialed in the process and started batching orders, it dropped to about $3.20 per shirt. The software that comes with the HTVRONT also deserves credit. If you ask me, the software is what makes or breaks a DTF rig, more than the printer itself.
The Numbers Nobody Tells You About
Two external factors caught us off guard:
Shipping. When you're mailing merch, USPS pricing is part of your cost model. According to USPS (usps.com), First-Class Mail letters are $0.73 and large envelopes are $1.50 as of January 2025. A t-shirt in a poly mailer doesn't fit those rates—it ships as a parcel. If you price your shirts assuming envelope rates, you'll lose money on every order.
Spec-sheet skepticism. Per FTC guidelines, advertising claims have to be truthful and substantiated (ftc.gov). But "substantiated" doesn't mean "accurate in your office." Speed claims, yield claims, "lifetime" printheads—verify everything in a real-world test. The P502's specs were the only ones that matched reality in our experience. Take that for what it's worth.
When You Shouldn't Buy Any of This
Honest boundaries, because this setup isn't for everyone:
If you print fewer than 10 custom shirts a month, outsource them. Period. The setup time, powder waste, and test prints will eat your margin. DTF only pays off once you have regular orders.
If your team is under 20 people and most of your communication is digital, the P502 might be overkill too. A smaller Ricoh model in the same range would do.
The MG-640 UV is the easiest to skip. Unless you have a steady pipeline of rigid promo items, the floor space and the learning curve aren't worth it. We justified it only because our marketing team had recurring demand.
What I'd Tell My 2023 Self
I'll be straight with you: even after the MG-640 paid for itself, I second-guessed the decision. What if a bigger UV machine would've scaled better? What if merch demand dropped? I didn't fully relax until month 12, when the per-unit cost finally went below what our old vendor charged. That number was the proof I needed.
There's genuine satisfaction in the current setup, too. Printing the monthly board deck on the P502, a batch of acrylic client awards on the MG-640, and 40 event tees on the HTVRONT in the same week—with no vendor emergencies—used to feel impossible. Now it's just Tuesday. The system works because each machine stays in its lane.
If you're weighing any of these purchases, here's my practical advice: list every print task your team did in the last 90 days. Sort them by substrate. Buy for what you actually printed, not for what the brochure says is possible. You'll probably end up with a reliable document printer. You might not need UV or DTF at all. And if you do need them, buy them as separate machines—because "one printer to rule them all" is a fantasy sold by vendors who've never watched one choke on a mug.
